Ministry Assistant
Mountain View Baptist Church is seeking a Ministry Assistant for 30 hours a week in the church office. The Ministry Assistant is responsible for general clerical and designated administrative functions of the church. This position requires a person that has strong verbal and written communication skills, is detailed oriented, organized, and proficient with Publisher, MS Office, and other software programs. ESSENTIAL DUTIES AND RESPONSIBILITIES:

Keep and maintain all financial records pertaining to the church.

Assist Financial Ministry Team in the following areas; Periodic audit of church expenditures, budget preparation process, and preparation of financial documents as required.

Maintain strict confidentiality concerning all church giving records.

Assemble all invoices and statements of accounts payable and disburse these funds in a timely manner.

Prepare payroll/taxes as required.

Perform year-end procedures that pertain to the financial areas of the church.

Comply with all established church policies and procedures as well as all applicable federal and state laws.

Assist pastor and Church Council in the administration of the church.

Disseminate all mail and correspondence.

Screen and route all incoming telephone calls.

Maintain and purchase office supplies as needed.

Routine filing of paperwork as required.

Assist church staff in planning and coordination of daily activities.

Prepare weekly worship bulletin, church newsletter and other correspondence as assigned.

Prepare newsletter and other correspondence for mass mailing as assigned.

Use church membership list to create and maintain a list of labels for use in mailings.

Prepare Wednesday night prayer sheet and update list as required.

Prepare, print and bind for distribution the church’s yearly handbook/calendar of events.

Order quarterly Sunday school material from Lifeway and distribute to Sunday school classes.

Prepare various church brochures as required to support outreach and greeting ministries of the church.

Responsible for requesting church membership letters for new members and issuing letters to other churches for those who move their membership.

Maintain church membership list.

Prepare signup sheets for different ministry teams when events and special occasions require it.

Order online resource materials s as assigned by ministerial staff and/or ministry teams.

Records the amount of tithes each Sunday through the church giving software.

Accepts donations on behalf of the church and records the amount and the donors name for tax purposes.

Keeps detailed records of all financial transactions.

Deposits the funds into the church’s bank account and maintains receipts for records.

Pays employees from the church’s accounts.
-
Maintains tax records of employee salaries, donor information, spending habits, and more.

Files the church’s taxes and keeps and files all records regarding such transactions.

Reconciles church bank statements with the church’s ledger, making note of any discrepancies and bringing them immediately to the pastor and/or Financial Team.

Presents a quarterly statement on the church’s finances to church members and donors.

Prepares tax forms such as W-2 or 1099 for church employees.

Prepare and disseminate end-of-year contribution records as required.
QUALIFICATIONS:
To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required.

A minimum of 1-year similar work experience

Strong computer skills (MS Windows, Word, Excel, PowerPoint, Outlook or any additional software)

Proficiency in the use of standard office tools (copy machine, etc.)
